The starting point
The team managed orders and inventory across several spreadsheets shared by email. Updates arrived late, two people would edit the same file at once, and closing the day took hours of manually reconciling numbers.
How it works
One place for the data
We moved orders and inventory from spreadsheets into a database with clear rules and permissions.
Roles and permissions
Sales, warehouse and admin see and edit only what's theirs; nobody overwrites anyone else's work.
Reports that build themselves
Closing reports are generated automatically at the end of the day, with no manual data entry.
Inventory alerts
The system emails a warning when a product is about to run out, before it becomes a lost sale.
What we built
- Web portal with authentication and roles (sales, warehouse, admin)
- Order module with statuses and notifications
- Inventory control with low-stock alerts
- Automatic daily reports by email
What's now the client's
- Admin access to create users
- Reports panel exportable to Excel
- A short usage guide for the team
- Automatic backups configured
Result
Daily operations close went from hours to a few minutes, and the team now works off a single source of truth instead of duplicated files over email.

Right before shipping
- • The old spreadsheets' history was archived, not migrated: data older than a year lives in the backup, not in the system.
- • Automatic reports depend on the product catalog being entered correctly; a duplicate name can duplicate a row.
Where it can grow
- • Connect the portal to the billing system to avoid double data entry.
- • Add a read-only mobile app so sales can check inventory in the field.
- • Add an AI panel that suggests when to reorder each product.
